Editing Settings #

Use this page to manage eCat settings for your organization.

Company Name, Website, Email Address and Phone Number are used to display company name and contact information on product tear sheets, orders, and emails prepared by eCat. This information is standard for all eCat users unless it is overridden in the user account definition.

Order Email Recipient is the default email address to which orders will be sent for all eCat users. This address can be overridden in a user’s account definition. In eCat, this will be added to the CC line of the order email draft that is created at order submission time.

Backup Order Email Recipient is an email address that will receive the order email when our server receives the order submission from eCat. This is more reliable than the standard Order Email Recipient, but will result in many duplicate order emails, so we recommend leaving it blank unless you are having trouble receiving order emails. Enable Ship Date and Enable Cancel Date allow you to control whether Ship Date and/or Cancel Date display in eCat or eCat Online during the order submission process.  This setting can be used as a default for your organization. (Note that you can override this setting at the user group level.  Requires eCat 2024.1 or newer.)

The following parameters allow you to restrict the bounds of the data entered by reps and eCat Online users:

  • Ship Date Maximum—Do not allow a ship date after <value> days from submission
  • Cancel Date Minimum—Do not allow a cancel date before <value> days from submission

Order Email Subject is the text that displays in the subject line of order emails created by eCat. By default the text reads “Thank you for your Order”. This can be customized by entering different subject line wording here. The order email subject line can also be customized at the user level.

Require Photos, if checked, sets the server to send only products with related product images to eCat. Leave the box unchecked to sync all products, including the ones without photos.

Alphabetize Collections automatically displays collections alphabetically by name if checked. If checked, the drag and drop handles and reordering feature will not display in the Collections maintenance page. Leave the box unchecked to enable manual reordering of collections.

Expand Collections enables drilling down from collection to group in eCat. This is useful in cases where groups represent a meaningful sub-category under collections, like “Bedroom/Dining/Occasional”, or “Chandeliers/Lamps/Fixtures”. Leave the box unchecked to turn off this feature if the relationship between Collections and Groups is not meaningful for your company.

Expand Groups enables drilling down from Groups to Collections in eCat. This is useful if users need to see collections or styles within groups. An example would be viewing all bedroom suites by collection name. Leave the box unchecked to turn off this feature if the relationship between Groups and Collections is not meaningful for your company.

Email Orders is used to enable/disable eCat’s order email creation feature. To automatically create order emails when the user taps ‘Submit Order’, leave the box checked. To disable order email creation, uncheck the box.

Enable Changed Address Warning will cause eCat to add an order note if the bill-to or ship-to address is changed. This is on by default. We recommend turning this off if your reps change addresses regularly. Requires eCat 2024.1 or newer.

Show Related Items enables display of items in the same collection as ‘related items’ in eCat’s ‘Details’ screen. When collections are used to group items that share a common style, or that are members of the same product ‘family’, this can be very useful to users. Otherwise, leave the box unchecked to hide this feature on the iPad.

Show Server URL is used to provide the local network address of an OrderXpert server. It enables eCat to send orders wirelessly to the local showroom server for printing, sales reporting, etc. If your company is not using this 3rd party service, or if you are between markets, leave this field empty.

Specify Quick View Fields & Labels provides a way to control the information seen by members of the user group in the second and third lines of information under the thumbnails on the user group’s Quick View screens. If left blank, the information displayed will default to the settings entered in the company settings screen. Any values entered here will override the company settings for these fields. Up to four fields, with labels, can be displayed on the third line. The field display will be truncated if too long, so short fields and labels will work best.

Define labels for option types is where the labels for option groups displayed in eCat are defined. These relate directly to the OptionSets exported in the product file and only apply to your company if product options are being defined and used in eCat.

Templates are used the define documents like the order email created by eCat to meet the needs of your company. These are in HTML format. Variables like ‘customer name’, ‘user email address’, etc. can be passed to customize the document as necessary. The order line section of the order document is in a standard format that is not customizable. ‘Order template’ is used when the user has pricing turned on in eCat. ‘Order no price template’ is used when the user has pricing turned off in eCat.

Enable country validation? will enforce consistent country code specification for bill-tos and ship-tos in the customer file.

Error email recipients will receive error emails, such as for failed import files.

Always deliver email recipients will always receive emails we send from our system. These emails will not be able to unsubscribe from email delivery.

Enrollment email recipients will receive emails twice a day with any new enrollment applications that have been submitted.

Specifying Product Fields and Labels #

You can specify what product values show in various parts of eCat and eCat Online. The following are areas you can specify:

  • Kit View—If you use kitting, these fields will display when configuring a kit.
  • Order Preview—These fields will display on each order line item when viewing the list of line items.
  • Quick View—Also known as Grid View. These fields will display below product thumbnails in the grid view.
  • Related Items View—These fields will display in the list of related items on the right side of the single item view.
  • Placements—If you use placements, these fields will display when viewing the placements.
  • Order PDF—These fields will display under eCat's order PDF images.
  • Single Item View—These fields will display under the price information at the bottom of the single item view. New in eCat 2024.1.

Required Order Header Fields #

You can specify certain order header fields as required for submission. If the user tries to submit an order without filling out the field, they will be blocked from submitting with an error message.

Requiring Unique PO Numbers

You can also require that PO numbers be unique on submission. If you check this box, expect the following behavior:

  • If you do not also require PO numbers for submission (in the Required Order Header Fields), uniqueness will only be verified if the user enters the value.
  • PO numbers do not have to be unique across resubmissions of the same order.
  • If this setting is on, eCat will require the user to be online in order to submit an order. This is because we have to have access to all the submitted orders, even for other reps, to check that it's unique.
  • A PO number is unique if it is not used in any other eCat orders, eCat Online orders, eCat Online Sales Portal orders, or eCat Online Sales Portal invoices.

Sales Portal Preferences #

These settings only display if you are using the eCat Online Sales Portal.

  • Excluded portal order backlog order statuses allows you to specify which portal orders are excluded from backlog calculations. Comma-delimited. E.g. "Cancelled,Complete". See the Status column in the Portal Order File Specification Documentation.
  • Automatically link to Customer Dashboard will automatically send a clickable link to eCat for each of your customers. When the rep taps the link, eCat will display the eCat Online Sales Portal customer dashboard.
  • Sales portal currency code allows you to specify the currency that the sales portal and eCat sales data (starting in eCat 2024.6) should display in. Currently we only support one currency in the sales portal, but with this you can ensure the values are displayed correctly. The currency code must be a valid 3-character ISO-4217 code, e.g. USD, CAD, GBP, EUR, CNY, JPY.
