1. User Accounts and Permissions #
- Verify all rep accounts are active.
- Have reps test logins before the show.
- Assign proper permissions for customer capture, order entry, and product access.
- Create custom user groups by market and assign reps accordingly to ensure proper access to relevant customers and products.
- Confirm reps can access their customers, products, and required lists.
Why this matters: Ensures every rep can operate independently and effectively without technical delays at the show.
Share Customers Across Reps During Market
At trade shows, reps often need access to customers outside their assigned territory. Use User Group settings to grant temporary or permanent access:
- Go to Admin Console > Users > User Groups and select the relevant group.
- Find the Customer list access dropdown.
- Set to All to grant access to all customers across territories.
Tip: Create a dedicated "Market Reps" User Group with Customer list access set to All. Move reps into this group for the duration of market, then move them back afterward to restore normal territory restrictions.
Alternative: You can also assign all territory codes to specific reps, but granting access via User Group is simpler for temporary events.
2. Product and Market Content #
- Ensure the product catalog is updated with your latest products, pricing newest items.
- Set up a Digital Product Showroom (flipbooks) for quick access to digital catalogs, spec sheets, and pricing to show prospects instantly.
- Upload event-specific playbooks (event schedule, showroom maps, demo tips, scripts) to the Resource Library.
- Link Related Items to boost cross-selling.
Why this matters: Makes it easy for reps to showcase products, tell compelling stories, and cross-sell seamlessly - without bulky brochures!
3. Sales Materials and Tools in eCat #
- Create Smart Lists to engage pre-market sales and to boost cross-selling or promotions.
- Empower reps to build customized lists (My Lists) filled with each customer's favorites and "maybes," then wow them by sending personalized presentations before market day!
- Set up Market Commitments (e.g., "High Point Pre-Orders") to capture early buyer interest.
- Build Kits for bundled products to simplify and boost sales.
- Use Group Scanning to quickly access and order related product variations.
Note: You will need to buy your own scanner and pair it to the respective iPad in use (example scanner).
Tip: Remember to charge and test your scanner before the event. See here for testing your scanner.
- Set up Sharing Orders feature for handing off orders between reps.
- Link: Sharing Orders
- Integrate with SuperCat payment solutions for fast order fulfillment.
Track Order Origin (Market, Road, Showroom) #
Use Order Origin to track where orders are written - essential for market performance analysis.
Step 1: Configure Order Origins
- Go to Admin Console > Tools > Company Settings.
- Find the Order Origins field and ensure your list includes the origins you need (e.g., Market, Road, Showroom).
- The first line becomes the default. Leave the first line blank if you do not want a default.
Step 2: Set Default Order Origin for Market Reps
- Go to Admin Console > Users > User Groups and select the market rep group.
- Set the Default Order Origin dropdown to Market (or your preferred origin).
- Reps can override this default per order if needed (e.g., a rep on the road during market week).
Note: Order Origin changes may take up to 2 hours to reflect in admin reports due to data processing schedules.
Why this matters: Streamlines the ordering process, maximizes booth efficiency and ensures buyers leave with a great experience.
4. Training and Testing #
- Run a mini training session covering:
- Capturing customers
- Quickly presenting products
- Processing market commitments
- Conduct simulated test orders to practice the entire customer flow.
- Encourage reps to walk through placing a fake order to ensure they understand the process.
- FAQ Guide:
- Distribute a short FAQ covering common issues (password reset, syncing errors, finding new product files, etc.).
Why this matters: Boosts reps' confidence, sharpens execution and minimizes mistakes during live customer interactions.
