How to Avoid Duplicate Accounts in SuperCat

Overview #

SuperCat allows one account per email address across the entire system. When you are added to a new eCat organization, using the same email you already have on file links that organization to your existing account. This gives you a single login that works across all your organizations.

Creating accounts with different emails results in separate, unconnected profiles. This leads to:

  • Login confusion: Forgetting which credentials work for which organization
  • Permission issues: Different accounts may have different roles, making access inconsistent
  • Lost data: Orders, lists, and favorites are scattered across multiple profiles
  • Extra admin work: Support must manually merge accounts, which can result in data loss

Why This Happens #

Duplicate accounts are typically created when:

  • A user provides a different email when joining a new organization (e.g., using a personal email instead of their work email)
  • An admin creates a new user without checking if that person already has an eCat account under another email
  • A user forgets their existing account and requests a new one instead of recovering access

Since SuperCat enforces one account per email address, using different emails automatically creates separate accounts that cannot share data or permissions.

How to Avoid Duplicate Accounts #

For Users Adding New eCat Organizations

  • Use the same email: When joining a new eCat organization, always provide the same email address you use for your existing eCat accounts.
  • Tell the admin: Let the new organization's eCat admin know you already have an account, and ask them to add you using your existing email.
  • Try logging in first: If you are unsure whether you have an account, try logging in with your existing credentials before requesting a new setup.

For eCat Admins Setting Up Users

  • Ask about existing accounts: Before creating a new user, ask if they already have an eCat account under a specific email.
  • Add existing users by email: If the user already has an account, add them to your organization using their existing email. This links your organization to their current profile.
  • Watch for the email error: If you see an error saying the email is already assigned to another user, that person already has an account. Add them as a user rather than trying to create a new account.

💡 Tip: When a user is added to multiple organizations under the same email, they can switch between organizations within eCat without logging out and back in.

What to Do If a Duplicate Account Exists #

If duplicate accounts have already been created:

  1. Stop using multiple accounts. Pick one account to use going forward to avoid making the situation worse.
  2. Contact SuperCat Support. Request to merge your accounts under your preferred email address. Be aware that merging may result in some data loss (orders, lists, or favorites from the secondary account).
  3. Notify the organization admin. Let them know which email you want to use so they can update your access accordingly.

⚠️ Important: Merging accounts may result in the loss of saved orders, lists, and favorites from the account being removed. Support will explain your options before making any changes.

Troubleshooting #

I tried to add a user but got an error saying the email is already in use.
This means the user already has an eCat account under that email. Instead of creating a new account, add them as a user to your organization using their existing email. This links your organization to their current profile.

I am not sure which email I used for my original account.
Try logging in with different email addresses you commonly use. If you still cannot find it, contact SuperCat Support for help locating your account.

Can I change the email on my account?
Yes. See Updating Account Email for instructions. Note that the new email must not already be in use by another account.

What data is lost when accounts are merged?
When support merges accounts, data from the secondary account (orders, lists, favorites) may not transfer to the primary account. Support will review your specific situation and explain what can be preserved.
