User Enrollment

Overview #

If your company uses the eCat Online shopping cart or sales portal SuperCat Solutions provides a set of tools that enable users to apply for site access.

Applicants can click a link to apply, then submit their personal and company information in a web form. Your company can then either approve or deny the application. The approval process can also be delegated to qualified users like sales reps, who know who should be authorized for access at existing customers. An email notification of the decision is automatically sent to the user.

To further speed up processing enrollment applications, sales reps can auto-enroll new users for existing customers in the sales portal customer dashboard. This completely bypasses the enrollment approval process

Enrollment Setup #

  1. Log in to your eCat Admin Portal.
  2. Click on Tools, and select Company Settings.
  3. Under General Settings, make sure the box for 'Enable Enrollment?' is checked.
  4. If you would like reps to enroll new users as well, check the box for 'Enable Rep Enrollment?'
  5. Optionally select “Enable delegated enrollment.” If selected, an enrollment manager will be able to delegate the enrollment decision to someone else, such as the applicant’s rep.
  6. Enter enrollment company types, one per line. When applying for enrollment, the applicant will see this list and be able to select a company type. This will give the approver more information when determining whether to accept or reject an application.
  7. Optionally select “Enrollment Requires Valid Customer Number.” If selected, an enrolling customer must enter a customer number that matches your eCat customer list.
  8. Scroll down to Email Templates. Verify that Enrollment Approval and Enrollment Rejection emails are worded as desired for your company. These emails will be automatically sent when an application is approved or rejected.
  9. Click Save when complete.


Email template

If you supply a valid template variable, we will replace it with a value appropriate for the email. Surround the variable name with % characters. For example, put %username% where you want the user's username to display. The variable name is not case sensitive.

usernameThe username of the user
passwordThe password of the user, if they are new. Please note: existing users will never receive their password via email.
existingSiteMessageDisplay a message to users telling them what other eCat Online sites they have access to. This is important to reduce confusion, as many users don't realize that the same username and password will give them access to multiple sites.

Manage User Enrollment #

When enabled, Admins can access the Enrollment page through the eCat Admin Portal. From the menu bar, access Users > Enrollment to view pending Applications and recent activity.

To process a new enrollment request, click the applicant name to view their application. Review the contents of the application and Approve or Reject to complete the process. Your applicant will receive an applicable Enrollment email, as specified in Company Settings.

Downloading applications

You can export applications in CSV format. You might want to do this if you have a number of applications and want to use the data in a way our Admin Console doesn't provide.

To export applications, start from the Enrollment page (Users > Enrollment), then click "Download Applications as CSV" at the top-right. Enter a date range and submit.

Sales Rep 'Quick Enrollment'

If you choose to enable the Quick Enrollment for Sales Reps, Reps will be given permission to directly add new users. When these Reps browse the Admin Portal menu for User > Enroll, they can enter a qualified email address to add a new user instantly.


It is possible to delegate the enrollment process to qualified users. See below to understand what criteria must be met to enable Enrollment responsibilities.

Requirements for Delegates #

Qualified users will be allowed to participate in the approval process, but it requires certain permissions to complete the process. To configure a delegate with access, the user must:

  • Belong to a User Group with limited Admin access
  • Belong to a User Group flagged as Primary Rep
  • Approved with Territory Code that matches any Customer Code

Providing Limited Admin Access

Access the delegate's user group and check the box 'Respond to delegated enrollment applications'. Be aware this change will apply to all members of the group.

Primary Rep group

Access the delegate's user group and check the box 'Primary Rep Group?'. Save when complete.

Finalize Permissions

From a pending enrollment application, select 'Delegate' to access Delegate Enrollment. On this page, only users with Admin and Primary Rep access will appear. Select 'Delegate' again to review the user setup. Be sure the Customer Code and Territory Code match for the user before completing.
